XV Olympic Winter Games, Marketing Group fonds

The records of the Marketing Group are "multiple media" in nature, although they are predominantly textual which includes 10 programmes, 9 postcards, 3 newsletters, 1 bulletin and 1 musical score. The oversize material includes 160 plans (venue plans and site plans), three charts, two posters and one map. The Marketing Group records, particularly in the licencing series, also includes cultural historic items (or artifacts) such as product samples, graphics samples and souvenir samples. Wherever possible, smaller items/samples have been placed into acid-free enclosures and kept within the originating file. However, the larger, more awkward items (buttons, pins, etc.) have been separated out into their own file folders directly following the originating file. As in the case of oversize items, notes have been added to indicate when an item has been removed from the originating file. In all cases, cultural historic items have been noted in the file lists in the printed inventory. See the conservation note below for more information on the care of these records. Some files from the licencing Program (Series II in the printed inventory) have been restricted because they contained personal and/or company credit information. These records may be viewed with the permission of Archives management. Other documents, such as reports and correspondence, were originally designated as "confidential," but have not been restricted since the confidential nature of the material had relevance only during the active life of the Marketing Group. The Marketing Group records consist of over 21 linear meters of material, which have been arranged and described into ten series, with some of these series further divided into sub series. The fonds consists of textual records, graphic records and sound recordings from 1884 to 1997 that reflect the administrative and operational history of The City of Calgary Electric System. The textual records include minutes, reports, ledgers, publications, newspaper articles, press clippings, public relations correspondence, Burton Commission reports, substation inspection and entry logbooks, network distribution maps, and Employee Record cards dating 1910 to 1969. The graphic records in this fonds include photoprints and negatives of employee events and staff retirement functions, substation and power plant construction, and daily operational activities such as streetlighting and electrical wiring repairs and the installation of underground electrical distribution by Electric System employees. Sound recordings include videotapes on staff training and orientation and cassette tapes of radio advertisements. Records have been arranged into the following series; Series I: History and Annual Reports; Series II: Public Relations; Series III: Operational Records and Reports; Series IV: Log Books and Ledgers; Series V: Employee Records; Series VI: Maps and Plans; Series VII: Photographs.

City of Calgary Papers fonds

The fonds consists of records from several different civic departments and offices dating as far back as the 1880s. These are among the earliest records held at the City of Calgary Archives. The collection was created through a unique custodial history: they were retrieved from a garbage truck after The City disposed of them, and were preserved at the Glenbow Archives. Before construction began on the Civic Administration Building in 1960 and 1961, some civic records were stored in one of the City-owned buildings east of City Hall. When the buildings were emptied to prepare for demolition, a City employee observed workers removing old records and throwing them into a garbage truck. The employee phoned the archivist at the Glenbow, Hugh Dempsey. Dr. Dempsey went immediately to the scene, went into the building and looked at the records on the shelf. Most were in Shannon boxes, and they dated back to the 1880s. He asked the foreman to delay the work so he could take a look through the files. The foreman responded that he had no authority to do so, but agreed to let Dr. Dempsey do whatever he wanted while the men went on coffee break. Dr. Dempsey worked as methodically as he could, selecting boxes simply by the label on the side of the box, tossing the ones he selected from the truck onto the ground. The men took a long break, but when they returned they finished loading and drove off to the dump. Dr. Dempsey took everything he saved back to the Glenbow, and this material became known as the City of Calgary Papers. Sue Baptie of the Glenbow Archives processed the records and produced an inventory in 1970. Series I: Consists of City Council Minutes, 1884-1897. Series II: Consists of petitions to the Mayor and Council, 1884-1897. Series III: Consists of financial records, including assessment and taxation records, 1886-1925. Series IV: Consists of the City Solicitor's files, 1905-1928. Series V: Consists of the City Engineer's correspondence, 1924-1930. Series VI: Consists of the City Comptroller's correspondence, 1925-1941. Series VII: Consists of licence Department records, 1906-1951. Series VIII: Consists of building permit ledger, 1907-1913. Series IX: Consists of those records whose provenance could not be clearly identified, as well as single files from various departments of offices that did not warrant being designated a series unto themselves.

Town of Bowness fonds

The fonds consists of by-laws, council minutes, agreements, development policies, assessment records, administrative files, building plans and specifications of buildings. When the Town was annexed each City of Calgary Department was incrusted to examine the Town's records and to incorporate the appropriate records into the Department records. The bulk of the Bowness municipal records were taken over by the Finance Department. Although they appear to have been largely unaltered, some files contain correspondence and other documents dated after the Town was annexed on 1964 August 15, indicating that they were used an updated by City of Calgary employees for a few weeks following the annexation. By-laws, council minutes, voters' lists and assessment cards were closed records at the time of annexation, and were unaltered by City of Calgary employees after the 1964 annexation. Series I: Consists of by-laws. Series II: Consists of council minutes. Series III: Consists of the Secretary Treasurer's files, which include correspondence, memoranda, reports, studies, briefs, receipts and invoices, maps, plans and drawings, and some publications. Series IV: Consists of agreements, draft agreements, and correspondence and other records related to agreements. Series V: Consists of assessment cards, assessment and tax rolls, tax arrears lists, and other records related to assessment, taxation, and other financial matters. Series VI: Consists of building specification and plans.

XV Olympic Winter Games, Olympic Plans and Miscellaneous Oversize Records fonds

The fonds consists of 3,448 plans, 37 posters, five pieces of art (drawings and sketches), three maps, three oversize aerial photo negatives, and a number of miscellaneous oversize items. Because there is no administrative structure to follow for the organization of these records, they have been grouped into two artificial series, the first consisting of the oversize plans and maps, and the second made up of the posters, aerial photo negatives and other miscellaneous items which did not fit into the first series. The majority of plans have been placed into oversize map folders and map cabinets. A few plans have been placed into one oversize box and some miscellaneous oversize items have been placed onto shelves. Each series has a number of sub series. There are 15 sub series in Series I, arranged by venue. Sub series xiv is made up of plans which were originally bound or grouped together because of the nature of the facility or operation described in the plans rather than by the venue where the construction was taking place.
