The fonds consists of correspondence and building permit registers of the Planning and Building Department. Series I: General Correspondence, 1952-1981, predominant 1960-1981. To provide information and advice to City Council, the Board of Commissioners and other civic bodies regarding matters of planning, development and construction. To prepare policy proposals on planning, development and construction. To enforce provincial and municipal legislation related to planning, development and construction. Series II: Director's office correspondence, 1974-1982. To supervise the operation of the Planning and Building Department. Series III: General Managers Files, 1970-1981. To supervise the land development process and to implement Council's policies related to planning. Series IV: Building regulations correspondence, 1964-1981. To manage the activities of the Building Regulations Division. Series V: Buildings Permit Registers, 1945-1970. To register the building permit applications. Series VI: Zoning Correspondence, 1942-1964, predominant 1958-1961. To document the applications for amendments to the zoning by-laws of Calgary, Forest Lawn, Montgomery. Bowness and Midnapore. To document the activities of the Zoning By-law Enforcement Officer appointed by the Planning Department. Series VII: Urban Renewal Files, 1966-1975. To manage the urban renewal program. Series VIII: City and community planning files, 1964-1985. To provide research and advice on planning matters. Series X: Land use and miscellaneous maps, 1934-1978, predominant 1972-1978. To describe actual, proposed or allowed land use. Series XI: Artificial series, 1945-1981, predominant 1972-1981. No specific function is described in this series as it has been artificially assembled by the archivist.

The fonds consists of correspondence, memoranda, reports, mechanical drawings, maps, and photographs. This inventory describes the records of the Director's Office and the Traffic Operations Division. It also includes the records generated by the traffic operations function while it was part of the Engineering Department, and the earlier records of the Traffic Engineering Department and the Traffic Division of the Engineering Department. City of Calgary. Calgary Transit fonds

The fonds consists of records of Calgary Transit which date back to the year of its establishment, 1909 and include records created after 1972, when it became part of the Transportation Department. Included are records created under its previous names: Calgary Transit System, Calgary Municipal Railway, and Calgary Electric Railway. The records of the remaining components of The Transportation Department, including the Director's office, Finance and Accounting, Traffic Operations, and Transportation Planning, are described separately in the "Inventory to the Records of the Transportation Department". The records of Calgary Transit include correspondence, reports, minutes of meetings, bulletins, publications, lists, directories, ledger books, register books, mechanical drawings, and photographs. There are also some non-record materials, including technical manuals, publications of other agencies, artifacts, tickets, passes, and transfers. The records have been grouped into nine series, based in general on their physical form. XV Olympic Winter Games, Governing Boards and Executive Group fonds

The records of the OCO'88 Governing Boards and Executive Group extend to over 21 linear meters and are multiple media in nature. The majority of the material is textual. Fonds consist of agenda and minutes of the Board of Directors and numerous committees, correspondence, reports, agreements, and assorted published and reference material. Besides those records mentioned in the "Extent" field, the records of the Executive Group include four oversize blueprints, two oversize plans and a musical score. The records of the Executive Group have been arranged into 14 series which are described in the printed inventory. XV Olympic Winter Games, Finance Group fonds

The City of Calgary Archives originally received about 21 linear meters of Finance Group records. These included textual and graphic records as well as magnetic computer tapes. As noted in the "Administrative History," the records received were generally not actual financial records. The Archives received no records documenting financial transactions, only records which were originally maintained by the Administration and Treasury Divisions. XV Olympic Winter Games, Marketing Group fonds

The records of the Marketing Group are "multiple media" in nature, although they are predominantly textual which includes 10 programmes, 9 postcards, 3 newsletters, 1 bulletin and 1 musical score. The oversize material includes 160 plans (venue plans and site plans), three charts, two posters and one map. The Marketing Group records, particularly in the licencing series, also includes cultural historic items (or artifacts) such as product samples, graphics samples and souvenir samples. Wherever possible, smaller items/samples have been placed into acid-free enclosures and kept within the originating file. However, the larger, more awkward items (buttons, pins, etc.) have been separated out into their own file folders directly following the originating file. As in the case of oversize items, notes have been added to indicate when an item has been removed from the originating file. In all cases, cultural historic items have been noted in the file lists in the printed inventory. See the conservation note below for more information on the care of these records. Some files from the licencing Program (Series II in the printed inventory) have been restricted because they contained personal and/or company credit information. These records may be viewed with the permission of Archives management. Other documents, such as reports and correspondence, were originally designated as "confidential," but have not been restricted since the confidential nature of the material had relevance only during the active life of the Marketing Group. The Marketing Group records consist of over 21 linear meters of material, which have been arranged and described into ten series, with some of these series further divided into sub series. XV Olympic Winter Games, Technology Group fonds

The City of Calgary Archives received approximately 11 meters of records from the Technology Group of OCO'88. These were from the two Divisions, namely the Systems Division and the Technical Services and Computing Systems Division. These records are predominately textual, but also consist of plans, blueprints, photo prints, a computer diskette and a cultural historic items (ID badge). Photo prints have been placed into appropriate archival enclosures and left in the file folders. Oversize material has been removed from original folders and placed into either oversize Hollinger boxes or map folders in map cabinets. The records have been arranged into 11 series. XV Olympic Winter Games, Sports Group fonds

The records of the Sports Group are predominantly textual (nearly 17 meters) but are also made up of a number of photographic images and oversize documents within the series. Photographic images have either been placed in acid-free enclosures or, in the case of slides, placed into appropriate "sleeves" and then into a binder for storage. The oversize material consists of a number of maps, plans and schedules as well as material used for presentations. These have been removed from original file folders and placed either into oversize Hollinger storage boxes or into map folders and then into a map cabinet. Graphics, sound cassettes and some computer diskettes are also part of the records of this Group. As in many of the series in the OCO'88 records, a number of documents in telefax form were found in the Sports Group. Because of the rapid deterioration of these records, they have been photocopied for preservation. In the most severe cases--where the fading of the document was so extreme as to make photocopying impossible--the "faxed" documents have been transcribed. A number of boxes of OCO records intended for the City of Calgary Archives were mistakenly set to Kestrel Data Inc., the company responsible for the storage of OCO's financial records. This material was transferred to the Archives in 1991 August. All of the accrued material from the Sports Group was from the records of Brian Murphy, the first Vice President of the Sports Group (Series V). The records of the Sports Group consists of six series (listed below) and descriptions at the series level in the published inventories are sometimes quite detailed. Three of the series (II, IV and V) are the result of the work of more than one records creator. The records in Series IV came from the offices of Brian Murphy and Bruce Wasylik, and those in Series V are clearly identified as being the result of the work of several Sports Coordinators; however, the origin of the materials in Series II is less certain. City of Calgary Papers fonds

The fonds consists of records from several different civic departments and offices dating as far back as the 1880s. These are among the earliest records held at the City of Calgary Archives. The collection was created through a unique custodial history: they were retrieved from a garbage truck after The City disposed of them, and were preserved at the Glenbow Archives. Before construction began on the Civic Administration Building in 1960 and 1961, some civic records were stored in one of the City-owned buildings east of City Hall. When the buildings were emptied to prepare for demolition, a City employee observed workers removing old records and throwing them into a garbage truck. The employee phoned the archivist at the Glenbow, Hugh Dempsey. Dr. Dempsey went immediately to the scene, went into the building and looked at the records on the shelf. Most were in Shannon boxes, and they dated back to the 1880s. He asked the foreman to delay the work so he could take a look through the files. The foreman responded that he had no authority to do so, but agreed to let Dr. Dempsey do whatever he wanted while the men went on coffee break. Dr. Dempsey worked as methodically as he could, selecting boxes simply by the label on the side of the box, tossing the ones he selected from the truck onto the ground. The men took a long break, but when they returned they finished loading and drove off to the dump. Dr. Dempsey took everything he saved back to the Glenbow, and this material became known as the City of Calgary Papers. Sue Baptie of the Glenbow Archives processed the records and produced an inventory in 1970. Series I: Consists of City Council Minutes, 1884-1897. Series II: Consists of petitions to the Mayor and Council, 1884-1897. Series III: Consists of financial records, including assessment and taxation records, 1886-1925. Series IV: Consists of the City Solicitor's files, 1905-1928. Series V: Consists of the City Engineer's correspondence, 1924-1930. Series VI: Consists of the City Comptroller's correspondence, 1925-1941. Series VII: Consists of licence Department records, 1906-1951. Series VIII: Consists of building permit ledger, 1907-1913. Series IX: Consists of those records whose provenance could not be clearly identified, as well as single files from various departments of offices that did not warrant being designated a series unto themselves.
