XV Olympic Winter Games, Team'88 Services Group fonds

The fonds consists of 15 series, each of which is introduced by an "Archival Description" section and a "Scope and Content" note. Lengthier narratives have been added at the series level, rather than in the "Administrative History" section of the Team'88 Services Group above. With the ever-changing structure of OCO'88, the relative late creation of the Team'88 Services Group and numerous staff changes in a relatively short time, more detailed descriptions at the series level should make for easier use of the records by researchers. XV Olympic Winter Games, Technology Group fonds

The City of Calgary Archives received approximately 11 meters of records from the Technology Group of OCO'88. These were from the two Divisions, namely the Systems Division and the Technical Services and Computing Systems Division. These records are predominately textual, but also consist of plans, blueprints, photo prints, a computer diskette and a cultural historic items (ID badge). Photo prints have been placed into appropriate archival enclosures and left in the file folders. Oversize material has been removed from original folders and placed into either oversize Hollinger boxes or map folders in map cabinets. The records have been arranged into 11 series. XV Olympic Winter Games, Communications Group fonds

The fonds consists of 23 series, each of which is introduced by an "Administrative History" section and a "Scope and Content" note. Lengthier narratives have been added at the series level, rather than in the "Administrative History" of the Communications Group above. In some cases, added "Notes" complete the Series Descriptions. Series I and II are the records of the Vice Presidents, Communications Group: Frances Jackson Dover and Jared Joynt. Series III to XI contain the records of the Public Relations Division. The records of the Media Division can be found in Series XII to XIV, with Culture Division records in Series XV to XXII. An artificial series of publications, cultural historic items and other ephemera concludes the Series Descriptions. The records of the Communications Group are "multiple media," but the vast majority of the material is textual. Photo prints have been enclosed in acid-free enclosures and remain with their original files; oversize material (blueprints and plans) have been removed from their original files and placed in appropriate oversize storage. Notes have been added to indicate where this has been done. Listings of all oversize material from each series have been placed at the end of the "File Listing" section for each Series. Videos, sound recordings, film and computer diskettes may also be found in some of the Series. No special conservation measures have been taken for these media at this time. The main conservation problem in these records was that of facsimile documents. All "faxed" documents have been photocopied for the purposes of preservation. Where possible, newspaper clippings have also been photocopied for preservation purposes.

The City of Calgary Archives originally received about 21 linear meters of Finance Group records. These included textual and graphic records as well as magnetic computer tapes. As noted in the "Administrative History," the records received were generally not actual financial records. The Archives received no records documenting financial transactions, only records which were originally maintained by the Administration and Treasury Divisions. XV Olympic Winter Games, Marketing Group fonds

The records of the Marketing Group are "multiple media" in nature, although they are predominantly textual which includes 10 programmes, 9 postcards, 3 newsletters, 1 bulletin and 1 musical score. The oversize material includes 160 plans (venue plans and site plans), three charts, two posters and one map. The Marketing Group records, particularly in the licencing series, also includes cultural historic items (or artifacts) such as product samples, graphics samples and souvenir samples. Wherever possible, smaller items/samples have been placed into acid-free enclosures and kept within the originating file. However, the larger, more awkward items (buttons, pins, etc.) have been separated out into their own file folders directly following the originating file. As in the case of oversize items, notes have been added to indicate when an item has been removed from the originating file. In all cases, cultural historic items have been noted in the file lists in the printed inventory. See the conservation note below for more information on the care of these records. Some files from the licencing Program (Series II in the printed inventory) have been restricted because they contained personal and/or company credit information. These records may be viewed with the permission of Archives management. Other documents, such as reports and correspondence, were originally designated as "confidential," but have not been restricted since the confidential nature of the material had relevance only during the active life of the Marketing Group. The Marketing Group records consist of over 21 linear meters of material, which have been arranged and described into ten series, with some of these series further divided into sub series. The fonds consists of records from the Parks and Recreation Department which reflect a wide range of responsibilities held by the Department over time including correspondence files, annual reports, financial records, reports, minutes, and publications. The records date from 1905 to 1981, with material from the 1960s and 1970s predominating. XV Olympic Winter Games, Olympic Plans and Miscellaneous Oversize Records fonds

The fonds consists of 3,448 plans, 37 posters, five pieces of art (drawings and sketches), three maps, three oversize aerial photo negatives, and a number of miscellaneous oversize items. Because there is no administrative structure to follow for the organization of these records, they have been grouped into two artificial series, the first consisting of the oversize plans and maps, and the second made up of the posters, aerial photo negatives and other miscellaneous items which did not fit into the first series. The majority of plans have been placed into oversize map folders and map cabinets. A few plans have been placed into one oversize box and some miscellaneous oversize items have been placed onto shelves. Each series has a number of sub series. There are 15 sub series in Series I, arranged by venue. Sub series xiv is made up of plans which were originally bound or grouped together because of the nature of the facility or operation described in the plans rather than by the venue where the construction was taking place. XV Olympic Winter Games, Olympic Photograph Collection fonds

The fonds consists of approximately 40,000 photo images (prints, transparencies and negatives) created or commissioned by the Communications Group, one of the six Groups which made up OCO. Most of them are from the Information Services Division. Some, mostly duplicates of those from Information Services, are from Products and Advertising and from Community Relations. All of this material is in English. Most of the images are in colour, the transparencies are 35mm and enclosed in slide cases, and photo prints are 8 x 10" or smaller. Some of what are referred to as negatives are in fact internegatives made from transparencies. This material is in very good physical condition. These photo images were commissioned and created for the purposes of publicizing the 1988 Olympic Winter Games before they occurred, of educating people about the Games, and of documenting preparation for the Games and the Games themselves. OCO'88 used them as research material and as a record of its activities. XV Olympic Winter Games, Sports Group fonds

The records of the Sports Group are predominantly textual (nearly 17 meters) but are also made up of a number of photographic images and oversize documents within the series. Photographic images have either been placed in acid-free enclosures or, in the case of slides, placed into appropriate "sleeves" and then into a binder for storage. The oversize material consists of a number of maps, plans and schedules as well as material used for presentations. These have been removed from original file folders and placed either into oversize Hollinger storage boxes or into map folders and then into a map cabinet. Graphics, sound cassettes and some computer diskettes are also part of the records of this Group. As in many of the series in the OCO'88 records, a number of documents in telefax form were found in the Sports Group. Because of the rapid deterioration of these records, they have been photocopied for preservation. In the most severe cases--where the fading of the document was so extreme as to make photocopying impossible--the "faxed" documents have been transcribed. A number of boxes of OCO records intended for the City of Calgary Archives were mistakenly set to Kestrel Data Inc., the company responsible for the storage of OCO's financial records. This material was transferred to the Archives in 1991 August. All of the accrued material from the Sports Group was from the records of Brian Murphy, the first Vice President of the Sports Group (Series V). The records of the Sports Group consists of six series (listed below) and descriptions at the series level in the published inventories are sometimes quite detailed. Three of the series (II, IV and V) are the result of the work of more than one records creator. The records in Series IV came from the offices of Brian Murphy and Bruce Wasylik, and those in Series V are clearly identified as being the result of the work of several Sports Coordinators; however, the origin of the materials in Series II is less certain.
